Squizzie can automatically generate and email your PDF reports on a recurring schedule. Set it up once and your team gets fresh reports landing in their inbox — without anyone having to remember to log in and hit “Generate.”
Why It Matters
Reports are most useful when they actually get read. Scheduled delivery takes the friction out of reporting entirely. Your sales manager gets a daily snapshot every morning. Your accountant gets a monthly summary on the first of every month. Nobody has to ask for it, nobody has to remember — it just arrives.
Setting Up a Schedule
- Go to Tracksies > Squizzie > Schedules
- Choose which report to schedule from the dropdown
- Set the frequency: Daily, Weekly, or Monthly
- Enter recipient email addresses, separated by commas
- Choose the send time
- Save and activate the schedule
That’s it. Squizzie will take it from there.
What Happens When a Schedule Runs
When it’s time to send, here’s what Squizzie does behind the scenes:
- Generates a fresh PDF report using the latest data
- Attaches the PDF to an email
- Sends the email to all recipients on the schedule
- Immediately deletes the PDF from the server
That last step is worth noting — Squizzie doesn’t store generated PDFs on your server. Each scheduled run creates a fresh report, sends it, and cleans up after itself. No old files cluttering up your hosting.
Send Log
Squizzie keeps a log of every scheduled delivery. You can see when a report was sent, who received it, and whether the delivery succeeded or failed.
View the log at Tracksies > Squizzie > Send Log.
This is handy for troubleshooting if someone says they didn’t receive a report, or for keeping an audit trail of what’s been sent and when.
Managing Schedules
You can pause, edit, or delete any schedule at any time from the Schedules screen.
A few things worth knowing:
- Multiple schedules per report are fully supported. You might set up a daily schedule sending to your sales team and a separate monthly schedule sending the same report to the board. Different frequencies, different recipients — no worries.
- Pausing a schedule stops it from sending without deleting your settings. Handy if someone’s on leave or you want to temporarily hold off.
- Editing lets you change the frequency, recipients, or send time whenever you need to.
Email Appearance
The emails Squizzie sends aren’t generic WordPress notifications. They use your Brand Hub branding — your logo, your colours, your business name. So when your team (or your clients) receive a report, it looks like it came from your business, not from a plugin.
Common Questions
What time zone does the schedule use?
Squizzie uses your WordPress site’s time zone setting. You can check (or change) this under Settings > General in your WordPress admin.
Can I send reports to external email addresses?
Yes. Any valid email address works — internal team members, clients, your accountant, whoever needs to see the data. Just add their address to the recipients list.
What if the email fails to send?
Squizzie logs the failure in the Send Log so you can see what went wrong. Email delivery depends on your site’s mail configuration — if your site can send emails (via SMTP, a mail plugin, or your host’s mail server), Squizzie can send reports. If you’re having trouble, check that regular WordPress emails (like password resets) are working first.
Can I attach multiple reports to one email?
Each schedule sends one report per email. If you want someone to receive multiple reports, set up a separate schedule for each one. They’ll arrive as individual emails, each with its own PDF attached.
